The Definition of Delivery Order

There are two parties involved in sending and receiving goods, so information related to the delivery of the goods must be clearly stated to ensure that the goods are received by the intended party. To clarify, a document called a delivery order was issued. 

The definition of delivery order is a statutory legal document used by a consignor of goods from one place to another. Delivery may occur between two companies or from seller to consumer. 

The delivery order is usually carried by the driver or field officer who delivers the goods. This document is known as an identity of the trip and agreement proof between two parties. When the vehicle arrives at the consignee’s location, they can match the received goods with the list from delivery order. If it doesn’t match, the recipient can file a complaint. Hence, the accuracy of information in this document is very important.

The Function 

Delivery order has several functions, such as:

1) List of items that need to be sent to the buyer.

2) Official purchase statements from the seller to the buyer.

3) Official proof that the goods have arrived at the consignee. 

Therefore, it’s necessary to issue a valid delivery order on shipping activities. 

The Components 

Delivery order contains a number of information. Usually, it’s adjusted to the company’s needs. However, here are the components that are included in it.

1) Letterhead (sender information) 

2) Delivery destination 

3) Goods type & quantities 

4) Item description 

5) Recipient’s/buyer’s signature 

6) Warehouse clerk’s signature 

In addition, keep in mind that the delivery order consists of three main copies. 

White sheet (1st copy)

The white one must be returned to the sender and used as an invoice billing attachment. This sheet is proof that all the goods have been delivered to the recipient. 

Red sheet (2nd copy)

The red sheet is given to the recipient. It must be kept as proof that the goods have been received in good condition. 

Yellow Sheet (3rd copy)

The yellow copy functioned as a transaction report that has to be kept by the company as an archive.
